What is a Channel Manager?

Short answer: a Channel Manager is software that automatically keeps a hotel's available rooms and bookings in sync across several online sales channels at once, such as Booking.com, Expedia and others. When a room is sold on one channel, it closes on all the others automatically. You do less manual work and are less likely to sell the same room twice (overbooking).

Why hotels need a Channel Manager

A modern hotel takes bookings from many sources: Booking.com, Expedia, phone calls, messaging apps, tour operators, corporate clients and walk-in guests. Every OTA has its own extranet and its own calendar.

Without a Channel Manager, a staff member has to log in to every extranet after each booking and close the date by hand, then reopen it after every cancellation. Even at a small property that adds up to dozens of actions a day. One forgotten update, and two guests arrive for the same room.

A Channel Manager automates this routine. It acts as a translator between the hotel and its sales channels: availability changes in one place, and everything else updates itself.

How a Channel Manager works

The core idea: a single source of availability

At its heart, a Channel Manager relies on one principle: availability lives in one place. Usually that place is the PMS (Property Management System) and its tape chart. The OTAs receive a copy from that source.

The flow looks like this:

  1. A guest books a room on Booking.com.
  2. The Channel Manager receives the booking and passes it to the PMS.
  3. The PMS assigns the booking to a free room, and availability changes.
  4. The Channel Manager sends the new availability to other channels, such as Expedia.
  5. No channel now has an extra room on sale for that date.

ARI: what gets transferred

In industry terms, the data a Channel Manager sends is called ARI:

  • Availability: how many rooms are free;
  • Rates: prices and rate plans;
  • Inventory: rooms offered for sale and restrictions such as minimum stay or closed-to-arrival.

In the other direction come reservations: new bookings, modifications and cancellations.

Exactly which data flows depends on the connection type: iCal or API.

iCal vs API: two ways to connect

iCal connections

iCal is an open standard for sharing calendars. The OTA provides an export link for each room type, and the Channel Manager reads it periodically to get the booked dates. In the other direction, the Channel Manager provides its own link, and the OTA reads it to block the dates that are taken.

iCal is quick and simple to set up, but it only carries "booked or free" and updates periodically rather than instantly.

API connections

An API is a full two-way connection between an OTA and a certified provider. It carries availability, rates, restrictions and booking details in near real time. To use it, the provider must pass the OTA's certification and hold a dedicated account. For example, Booking.com's Connectivity API (B.XML) requires a certified connectivity (machine) account.

Channel Manager vs PMS vs Booking Engine

These three terms are often confused. In reality they do different jobs and work best together.

Put simply, the PMS is the hotel's brain, the Channel Manager is its line to the outside world, and the Booking Engine is the shop window on your own website.

Who needs a Channel Manager?

You clearly need one if

  • you sell on two or more OTAs;
  • on top of OTA bookings you take phone bookings, walk-ins and corporate reservations;
  • occupancy approaches 80–100% in high season and every room counts;
  • several staff members handle bookings and need to see each other's changes.

You may not need one yet if

  • you sell on a single OTA with few bookings;
  • your guests are mostly regular corporate clients or long-stay tenants.

Even then, a PMS is still useful: the tape chart, cash desk, E-mehmon registration and reports all work regardless of the Channel Manager.

Numbers: how to measure the impact

Results differ for every property, so below you will find only formulas and calculations clearly labelled as examples.

Example: 3 channels, 8 changes a day (new bookings or cancellations), and 2 minutes to update each extranet gives 3 × 8 × 2 = 48 minutes a day spent just on calendars. That is the time a Channel Manager mostly saves.

Example: a 30-room hotel sells 24 rooms for one night, so occupancy = 24 ÷ 30 = 80%. If 15 of them came from OTAs, OTA share = 15 ÷ 24 ≈ 63% and direct share ≈ 37%.

A day at the front desk with a Channel Manager

Picture a 15-room hotel in Samarkand. In the morning the receptionist opens the tape chart. Question: Does a Channel Manager change prices by itself? Answer: No. It sends the price you set to the channels (over an API connection). Changing prices automatically is dynamic pricing, a separate function. uMehmon does not have automated dynamic pricing yet, but it does support a price range (min–max).

Question: What if two channels book the same room at the same moment? Answer: The first booking takes the room. If no free room is left for the second, it lands in the unassigned bookings row with a warning so you can act right away.

Question: Can I stop using the OTA extranet altogether? Answer: No. Reviews, guest messages, finance and, with iCal, rates are still managed in the OTA's extranet.

Question: How many channels should a Channel Manager support? Answer: The main channels in your market. For many properties Booking.com and Expedia are enough to start, and others can be added later.

  • Careful setup (room type mapping) is required, since setup errors lead to booking errors.
  • A Channel Manager does not reduce OTA commission. To do that, you need to grow direct sales.

Common setup mistakes

A badly configured Channel Manager can create new problems instead of solving old ones. The most frequent mistakes are:

  • Wrong room type mapping. If "Deluxe" on the OTA points to "Standard" in the PMS, bookings go to the wrong room or find no free room at all.
  • Forgotten manual blocks. Dates closed by hand in an OTA extranet before connecting can clash with the sync. Clean up the calendar before you go live.
  • Tracking availability in more than one place. If one person uses Excel and another uses the PMS, the single source of truth breaks down. Enter every booking (phone, walk-in, corporate) in the PMS only.
  • Unmarked out-of-order rooms. A room under repair looks free and goes on sale. In uMehmon, set it to "maintenance" in housekeeping.
  • Ignoring warnings. A non-empty unassigned bookings row means you need to act now.
  • Going live without testing. Run a few bookings in simulation mode first.

Rate parity and channel mix

A Channel Manager keeps availability in order, but pricing strategy is still your call. Very different prices for the same room across channels confuse guests, and some OTA agreements include rate parity requirements, so check your own contract.

Channel mix is how your sales are split between channels.   1. Which channels work today and which are planned. Ask about current status, not promises.
  2. Connection type. iCal, API or both, and the certification status for the API.
  3. PMS link. One system or two separate ones.
